When Gomocha ran into limitations in hour registration and project invoicing within Exact Online, they found a solution in Fortes Milestones that was flexible enough for their international business structure.
The challenge: international tracking of hours within Exact Online
At Gomocha, Exact Online was used for both financial accounting and project and tracking hours. But the company’s international structure – with a BV in the Netherlands, an LLC in the U.S. and a holding company above it – presented practical challenges.
“We wanted all our employees, regardless of location, to be able to write hours on any customer. In Exact, this was not possible. American colleagues could not book hours on Dutch customers, which slowed down our process,” says Gomocha’s finance manager.
The solution: Fortes Milestones for flexible tracking of hours
Through Exact’s partner list, Gomocha came across Fortes Milestones, which specializes in tracking hours, project invoicing and capacity planning for complex organizations.
“With Fortes Milestones, we were able to set up the system so that each employee could book hours on each customer. In addition, it became immediately clear which hours were linked to which entity. This simplified our processes considerably.”
More control over project invoicing and extra work
In addition to flexible hour tracking, there was a need for more control over additional work outside the standard service package. Gomocha works with a SaaS model, where customers pay a flat fee. Additional work needed to be recorded and billed separately.
“In Fortes Milestones, we created budget rules for this work. This allows us to easily determine which additional hours we want to pass on. This was exactly the flexibility we were looking for.”
Fast implementation and smooth cooperation
The implementation of Fortes Milestones went smoothly.
“We started in early June, by the end of July we were fully operational. Thanks to good preparation and the guidance of our consultant Berry Zwaan, the process went smoothly. Since July 1 we have been tracking our hours in Fortes Milestones and at the end of July the first invoices were sent.”

To keep things simple for employees, Gomocha brought various activities – such as implementation, subscriptions, support and consulting – into one project per customer.
“We use hour tracking not as a control tool, but as a way for employees to record their work. With limited item types and clear budget rules, the system remains user-friendly.
For small additional requests, we take a pragmatic approach, without new contracts or projects. This saves an enormous amount of time in our administration.”
